This Privacy Policy explains how PDFfans ("we", "us", "our") collects, uses and protects information when you use our website (www.pdffans.com) and its tools. We keep data collection to a minimum and follow the core principles of the GDPR and CCPA.
1. Our Commitment
Most tools work without an account, we do not read the contents of your documents, and we do not sell your personal data to anyone.
2. How Your Files Are Processed
Most PDFfans tools run entirely in your browser. Your file is opened and processed on your own device and is never uploaded to our servers.
Two tools work differently, because the conversion needs more power than a browser can offer: Word to PDF and PDF to Word (in "Editable text" mode). These send your file over an encrypted (HTTPS) connection to a conversion server that we operate. The server converts it, returns the result to you, and deletes the file right after the conversion finishes. If a conversion is interrupted in an unusual way, any leftover file is cleared automatically within 10 days at the latest.
- We do not read, copy, share or reuse your documents for any other purpose.
- We do not keep copies of your files, and we do not build a profile from their contents.
3. Information We Collect
- No required personal data: you can use the tools without an account or any personal information.
- Account data (optional): if you create an account, we store your email address and a securely hashed password.
- Messages: if you email us, we receive your email address and whatever you write, and we use it only to reply.
- Newsletter: if you subscribe, your email address is stored with our email service provider, Brevo, and used only to send the updates you asked for.
- Technical data: like most websites, our hosting provider may keep standard server logs (IP address, time, browser type) for security and reliability. The conversion server described in section 2 does the same and keeps its logs for about 14 days. To apply the daily free limit on Word to PDF and PDF to Word, it also stores a one-way scrambled (hashed) form of your IP address next to a count of that day's conversions. Your actual IP address is not kept in this count, and the counts are discarded at the end of each day. Our site also passes the conversion server a short-lived signed code with your plan, its daily limit, and either your account number or a random visitor ID, so the right limit applies to you. We do not use any of this to profile you.
- Usage analytics: we use Google Analytics to measure which pages and tools are used, and from which country and device type. It uses cookies and online identifiers (see our Cookie Policy). We do not send the contents of your files to Google Analytics.
- Preferences: your light or dark theme choice is saved in your browser.
4. Cookies and Local Storage
We use a session cookie for core site functions such as keeping you signed in and protecting forms. Your browser's local storage keeps simple preferences like light or dark mode. When you start a Word to PDF or PDF to Word conversion without an account, we also set a strictly necessary cookie with a random visitor ID to apply the daily free limit. Google Analytics also sets cookies to measure site usage; for visitors in the EEA, UK and Switzerland, they are set only if you consent. If ads are shown, our ad partners may set their own cookies (see section 6). You can block or delete cookies in your browser settings, although some features may not work without them. 5. Communications
We only send newsletter or promotional emails if you opt in. You can unsubscribe at any time using the link in our emails, or by writing to support@pdffans.com.
6. Third-Party Services
- Analytics: Google Analytics (Google LLC) processes usage data such as pages viewed, approximate location and device type, to help us improve the tools. Google may process this data in the United States and other countries.
- Advertising: we may show ads (for example, Google AdSense). Ad partners may use cookies under their own privacy policies. Our planned paid plans will remove ads.
- Hosting and delivery: the site is hosted by Hostinger, which also provides content delivery and DNS. They may process your IP address to deliver and secure the site. The conversion server for Word to PDF and PDF to Word runs on a virtual server from netcup, a Germany-based provider, in a data center in Vienna, Austria (European Union).
- Payments: paid plans are not available yet. When they launch, payments will be handled by a third-party payment provider, which we will name here before any payment is taken. We do not store full payment card details.
- Fonts, icons and libraries: some are loaded from third-party content delivery networks (for example Google Fonts or cdnjs), which may receive your IP address when they serve those files.
These providers operate under their own privacy policies. We do not sell personal data.
7. Children's Privacy
PDFfans is not directed to children and does not knowingly collect personal information from children under 13 (or the minimum age required where you live, which is 16 in parts of the EEA). If you believe a child has given us personal data, contact support@pdffans.com and we will delete it promptly.
8. Your Rights
Depending on where you live, you may have the right to access, correct, delete or export the personal data you gave us, and to object to certain processing. To use these rights, email support@pdffans.com. We aim to reply within 30 days.
9. Security
All connections to PDFfans are protected with HTTPS/TLS encryption. We apply reasonable technical and organizational measures, review our configuration from time to time, and collect as little data as we can by design. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be posted on this page with a new date. Continuing to use the site after an update means you accept the revised policy.
