You pulled a report together from three files, sent it round, and the first reply says "which page are you on?" Without page numbers nobody can point at anything, and printed copies turn into a puzzle the second someone drops the stack.

Below: how to add page numbers to a PDF in your browser with PDFfans Add Page Numbers: where to put them, which format to pick, how to skip a cover page, and what to check before you send the file.

Why Add Page Numbers at All

A numbered PDF is easier to discuss, cite and print. Contracts, theses, manuals and meeting packs all rely on it: "see page 14" only works when page 14 is labelled. Page numbers also protect a printed copy. If the sheets get shuffled, the numbers put them back.

Most office software numbers pages when you write the document. The problem starts later, when you merge several files, receive a scan, or only have the PDF and not the original. That is when you need to add page numbers to the PDF itself.

Step-by-Step: Number the Pages of a PDF

  1. Open Add Page Numbers to PDF in your browser.
  2. Add your PDF. The tool shows the page count.
  3. Choose a position: bottom center, bottom left, bottom right, or the same three along the top.
  4. Choose a format, set the size and margin, and pick black or gray text.
  5. Run it and download the numbered file. Keep the original until you have checked the copy.

The tool runs in your browser tab, so the file never leaves your device. Files up to 50 MB work without an account; a free account raises the limit.

Pick a Format That Fits the Document

There are five formats. Here is how they compare.

FormatLooks likeGood for
Plain number1Everyday documents, handouts
Page 1Page 1Reports and forms where a bare digit looks lost
1 of 101 of 10Anything printed, so a missing sheet is obvious
Page 1 of 10Page 1 of 10Contracts and formal packs
Dashed- 1 -Letters and a classic look

Bottom center is the safe default. Move to the bottom right for single-sided documents bound on the left, where readers look for the number in the corner. For double-sided printing, bottom center is the safer choice, because the tool has no mirrored option for left and right pages. If your page already has a footer, try the top of the page or choose the close margin to tuck the number nearer the edge of the page.

Small (9 pt) suits dense pages, normal (11 pt) suits most files, and large (14 pt) helps on posters or documents that will be read at a distance. Gray is easier on the eye in a long report; black prints more clearly on a low-quality printer.

Skip the Cover and Start at 1

Two fields do the work here. "First page to number" decides where numbering begins. "Start numbering at" decides what number it shows there.

  • Cover plus 9 pages, number from page 2, start at 1: the cover stays blank and the next page reads 1.
  • Same file, start at 0: the first numbered page reads 0, which some formal documents use for a title page.
  • Continuing a document: if this file is part two of a report that ended on page 24, set the start number to 25.

Note: the total in the "of" formats is the last number in the run, not the page count of the file. With the default start of 1, a 10-page PDF numbered from page 2 reads "1 of 9", because only nine pages carry a number. Start at 25 and the same nine pages end on "of 33". If you want the total to match the file, number every page from 1.

Check the Result Before You Send It

Open the new file and look at three pages: the first numbered page, one in the middle, and the last. Confirm the numbers are in the right corner and not sitting on top of a footer or a table. Then check any page that was scanned sideways. In our test file, a page stored rotated 90 degrees still got its number upright at the bottom, but scanners store rotation in different ways, so look at yours.

The numbers are drawn on top of each page. Existing text, images and links are not rebuilt, so text you could select before stays selectable. You also cannot remove the numbers later. Keep the original, and number a copy.

If the PDF is a merge of several files, number it after merging, not before, or every part will start again at 1. Need to combine files first? Use Merge PDF, then number the result. If the numbered file is now too big to email, run it through Compress PDF last.

FAQ

How do I add page numbers to a PDF for free?

Open a browser tool that numbers pages, add your PDF, choose the position and format, and download the result. With PDFfans the file is processed in your browser tab, so nothing is uploaded.

Can I skip the cover page and start numbering on page 2?

Yes. Set the first page to number to 2. The cover stays blank and the next page becomes the first numbered page. Use the start number field if you want it to read 1 or any other value.

Will the numbers work on pages that are rotated?

In our test with a page stored rotated 90 degrees, the number came out upright at the bottom of the page. Check your own file after downloading, because scans can store rotation in different ways.

Can I remove page numbers after adding them?

Not with this tool. The numbers are drawn onto the pages, so keep your original file and run the numbering on a copy. If you need a different style later, number the original again.

Does adding page numbers make the PDF unreadable or flatten the text?

No. The numbers are added on top of each page. The existing text, images and links stay as they were, and text you could select before is still selectable.
